  1. Job Objective

 

The Executive Assistant to the Managing Director will provide high-level administrative, operational, and strategic support to ensure the efficient functioning of the MD's office. The role requires exceptional organizational skills, strong stakeholder management, and the ability to coordinate cross-functional initiatives while maintaining confidentiality and attention to detail.

 

 

 

  1. Primary responsibilities
  1. Executive & Administrative Support
  • Manage the MD's calendar, appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, ensuring agendas, presentations, and supporting documents are prepared in advance.
  • Prepare meeting minutes, track action items, and ensure timely follow-up with stakeholders.
  • Handle correspondence, emails, and communication on behalf of the MD where appropriate.
  • Manage expense reports, travel logistics, and other administrative requirements.

 

  1. Operations Coordination
  • Coordinate with cross-functional teams to monitor operational priorities and ensure timely execution of key initiatives.
  • Track business deliverables, project milestones, and operational action plans across departments.
  • Maintain dashboards, MIS reports, and operational trackers for leadership review.
  • Follow up with business leaders on pending actions, escalations, and deadlines.
  • Support the planning and execution of leadership meetings, business reviews, and operational reviews.

 

  1. Strategic Support
  • Conduct market, industry, and competitor research to support strategic decision-making.
  • Assist in preparing business presentations, reports, and executive summaries for leadership discussions and Board meetings.
  • Support strategic projects by coordinating with internal teams and external stakeholders.
  • Analyse operational data and generate insights to aid business planning and performance improvement.
  • Assist the MD in tracking strategic initiatives and ensuring alignment with business objectives.

 

  1. Stakeholder Management
  • Act as a liaison between the MD and internal teams, senior leadership, customers, and external partners.
  • Build strong working relationships across functions to facilitate effective communication and collaboration.
  • Handle confidential information with professionalism and discretion.
